1. Who we are
This website is run by The Guild of Jewellery Designers Ltd, trading as Wax Seal Stamps UK, 44 Hockley Street, Hockley, Birmingham B18 6BH, United Kingdom. 2. What we collect
- Enquiries — when you use our contact, bespoke or wholesale forms: your name, email address, phone number (optional) and your message.
- Orders — when you buy from us: your name, billing and delivery addresses, email, phone, the items you order, the personalisation details you enter and any artwork or logo files you upload. Card details are handled directly by our payment provider; we never see or store your full card number.
3. Why we use it and our legal basis
- To reply to your enquiry and prepare quotes — legitimate interests, or steps you ask us to take before a contract.
- To make, deliver and support your order — performance of a contract.
- To keep accounting and VAT records — legal obligation.
- To protect our business, prevent fraud and improve our service — legitimate interests.
4. Marketing
We only send marketing emails if you have opted in. You can unsubscribe at any time using the link in any email or by contacting us.
5. Cookies and browser storage
We save your basket in your own browser's local storage so it is still there when you come back. Nothing about your basket is sent to us until you place an order. We do not currently use advertising or tracking cookies. If we add analytics in future, we will update this section first and ask for your consent where required.
6. Who we share it with
We share information only with the providers who help us run the shop — our website hosting and database providers, our payment provider, and the delivery companies that carry your order — and only as much as they need. We may also share information where the law requires it. We never sell your personal information.
7. International transfers
Some of our service providers may store or process data outside the UK. Where they do, we make sure appropriate safeguards are in place, such as UK adequacy regulations or the UK International Data Transfer Agreement.
8. How long we keep it
- Order and accounting records: 6 years, as required by HMRC.
- Enquiries that don't lead to an order: up to 2 years.
- Uploaded artwork: only as long as needed to make and support your order, unless you ask us to keep it for repeat orders.
9. Your rights
Under UK data protection law you have the right to access the personal information we hold about you, to have it corrected or deleted, to restrict or object to how we use it, to receive a copy in a portable format, and to withdraw consent at any time where we rely on it. To use any of these rights, contact us using the details in section 1. We will respond within one month.
If you are unhappy with how we have handled your information, please tell us first. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
